Day planner

A day planner is a dated page that holds the hours of one workday in order. You write blocks, not wishes, so the day can be followed instead of remembered.

How it works

The unit is one civil date. Morning, afternoon, and evening sit on the same spread so you can see collisions before they happen. A workday planner is not a journal and not a yearly calendar. The yearly calendar names the date. The planner names what the date contains: a start, a commute, a stretch of paid work, a break, a second stretch, and a stop. If those pieces are only in your head, they will be rewritten by the first slack ping.

Paper, a phone app, and a wall blotter are the same tool in different rooms. The job is identical: put clock times next to tasks so two tasks cannot occupy the same hour. A list without times is a wish list. A calendar of meetings without the work between them is a guest list. The planner has to hold both, or the work will be done in the gaps you thought were rest.

Workdays have edges. A shift that starts at a fixed hour needs a block before it for travel and a block after it for shutdown. A salaried day that “starts when I sit down” still has a first real hour and a last useful one. Write those. A planner that only records other people’s invitations will fill itself with other people’s priorities.

Blocks a job can actually keep

Name the date at the top so yesterday’s leftovers cannot hide on today’s page. Write the immovable edges: start of shift, hard meetings, pickup times, the hour you must leave. Place one main work block in the longest remaining gap, not three “quick” tasks in the same gap.

Give breaks a start and a stop. An untimed lunch is how a meeting eats it. Leave a short empty block. Something will slip. If every line is full, the first slip ruins the page. Color and icons are optional. Sequence is not. If a task has no clock, it will lose to any task that does. If two tasks share an hour, one of them is fiction. The planner’s job is to make that fiction visible before you are standing in it with a laptop bag.

End the page with a stop. A workday without a written end will leak into the evening, then into sleep, then into tomorrow’s first block. Carry unfinished work to the next dated page as a named block, not as a guilt margin along the bottom. The next page is a different day. It needs its own hours.

A planner that only lists meetings is a guest list. A planner that lists the work is a day.

When the page is lying

The page lies when the times are copied from a better week. A commute that took twenty minutes in July can take fifty in a storm. A “quick” report that took an hour last time can take three. Update the block when the world disagrees. Do not protect the ink. The planner is a working sheet. A beautiful unused spread is decoration.

It also lies when you record intention and skip outcome. If the afternoon block moved, write where it moved. Tomorrow’s planner needs that fact more than it needs an unbroken streak of tidy pages. The tool is there so a job can be seen in hours. If you cannot see the hours, you cannot protect them.
